Audio Conferencing

Everyone can receive your message live
and at the same time


So you have a message that you want to deliver live, yet on a shoestring budget.  That rules out flying everyone to your location.  It also rules out a live videoconference.  Although that may be cheaper than flying them in, it’s still very expensive.  Probably the best and most economical method for reaching these people is to have an audio conference.  Unlike with video conferencing, you can use plain old telephone lines.  With the right equipment at each location, everyone can receive your message live and at the same time.

If you’re a pharmaceutical company and you have a new product to rollout to your district sales reps this is an ideal application for audio conferencing. 

Here’s how it’s done –
Plan to have the reps meet at a central location within their region, probably a banquet facility.  Your national sales manager will be the one to deliver the message.  Let’s say the regional groups are of about 25 people.  Each regional group will call into a switching center or what is commonly known as a “bridge”.  At this time, the outgoing message from the national sales manager is “broadcast” to the various regional groups. 

How do the group members at each location hear the message?  That is where a good audio-visual rental company is needed.  Typically what is used is an audio-conferencing unit. The most common ones are made by Shure, Polycom or Gentner.  These names are the best known in the business.  For a one-way conference such as this a tabletop conference phone may be used.  One unit per banquet table holding 8 or ten people should be sufficient.  For larger groups a freestanding PA system (speakers and stands) may be preferable.  Feedback is always a concern when using a separate PA system.  You’re A-V company should know how to deal with this. 

For larger conferences where two-way communication is needed you not only need a freestanding PA system but may also need multiple microphones.  This takes a little more planning and expense. 

Lastly, whether your conference is large or small, all you need for phone service is an analog phone line.  You may have to dial 9 to get an outside line.
