A-V Carts and Stands

A-V Cart Guidelines

Carts and stands are usually not the center of focus when it comes to a meeting or an event.  It is almost always assumed the A-V company or the hotel or restaurant or banquet or conference center will automatically come up with the appropriate one, with a skirt and for free!  Although that may not change in the near future, if you are detail oriented and like things to be taken care of the right way, ahead of time, here are some guidelines with regard to carts and stands.

Cart sizes
Traditional cart heights are 26”, 34” 42”, 48”, 54”.  The 26”, 34” and 42” sizes come with a shelf size of 18” x 24”.  The two larger sizes have a shelf size of 25” x 30”.

LCD projector in a small venue (5-50 people)
Since portable LCD’s are generally “front of the room” projectors, you typically need a cart or stand that allows the people sitting behind it to still have a clear view of the screen.  A 34” high A-V cart is the ideal height as it puts the LCD at a good projection height and has a middle shelf available.   The next size lower, a 26” high A-V cart also sill work.

Overhead Projectors
Presenters often stand when they are delivering presentations using an overhead projector.  Although transparencies are less and less common, a 34” or 42” cart that puts the overhead at a good working height for a person standing.  If the presenter is sitting down, a 26” cart may be more appropriate.

Slide Projection
Slide Projectors have longer focal length lenses and need to be located farther away from the screen.  This means a taller cart to get the projector above the heads of the audience seated in front of the projector is better.  A 42” cart is a good choice for this type of projector.

TV/VCR
For a group of 5-40 people a 20” TV/VCR on a 42” high A-V cart is appropriate.  For a 27” TV/VCR that is better for groups of 40 to 50+ people, a 48” cart is the best choice although a 42” will work.  A 32” TV is a good choice for 75 to 100 people.  A “Big Screen TV” is good for groups of 75+ also.  27” and 32” TV’s are safer on carts with the larger 25”x 30” shelf size. 

Seating Arrangements
Please note – For classroom and theater style seating chairs are typically closer together and also closer to your projection screen.  For banquet style seating chairs are farther from the screen.  Therefore a larger screen may be recommended.  For a 75 person group seated theater style a 32” TV may be fine.  75 people seated banquet style in a large banquet hall may dictate a “big screen” TV for everyone to view more comfortably.

For ballroom size groups, LCD projectors can be fitted with “long-focal length lenses” that allow you to position them behind the audience.  This gets the projector out of the audience.  The projector then projects above the heads of the audience onto the screen at the front of the room.  This requires projector carts that are at least five feet high.  If it is a standing audience at a special event, an even greater height is necessary.  

Portable Stands
A common portable stand that has been very popular in the A-V business from day one is the Project-O-Stand.  This is a table that has telescoping legs that can be removed and fasten to the bottom of the shelf for storage.  These tables are great as they allow a shelf height of anywhere from 26” to 56”.
